Glossary: the words we use

People use a lot of different words for the same few things: on the website, in MOM, on the phone, in the office. That is normal and nobody needs to change how they talk. APSync uses one word for each thing, and this page says which everyday words map to it.

The words APSync uses

The three kinds of item

Every item in the product list is exactly one of these.

Word	What it means	In the product list
Flat item	An ordinary item with nothing inside it. A Parent's Guide is flat. So is a class seat.	270 of 387 items
Bundle	One product the warehouse assembles from components it already knows about. It sells as one line, ships as one item, and the packing slip shows the bundle, not what is inside it. Stock is counted on the components, never on the bundle.	48 items. "Is Bundle" is ticked and "Bundle SKUs" lists the components.
Breakout	A deal sold at one price whose pieces must each be listed for the warehouse, because the contents change from program to program. When you press Revise, APSync adds each piece to the invoice as its own $0 line under the priced one.	69 items. "Is Breakout" is ticked and "Breakout SKUs" lists the pieces.

A component is an item inside a bundle or a breakout. Components are usually flat. A breakout often has a bundle as one of its components.

Service items

A service item is anything that cannot go in a box. It is invoiced, it never ships, and it is never charged shipping. More than half the product list (210 of 387 items) is service items.

As a general rule these are services:

Classes and groups: online classes, Online Groups.
Training: live webinars, Leader Training Workshops (LTW), Training of Trainers (TOT), leader certification.
Anything you watch online: the Online Video Library, streaming subscriptions and renewals.
Anything you download: digital editions (DE), e-books, reproducible certificates, downloadable flyers.
Fees and charges: set-up fees, speaker fees, travel, prepaid freight charges.

And these are not: books, guides and workbooks, flash drives, posters, magnets, games, coins, tote bags and tags. They go in a box, so they are products.

A service item can still be a bundle or a breakout. A Leader Training Workshop is usually a breakout: the workshop is the service, and the books that come with it are products that ship.

Pricing, invoices and shipping

Word	What it means
Price tiers	A lower price per item when the customer buys more: for a Parent's Guide, one price for 1-24, a lower one for 25-99, a lower one again for 100 or more. The tiers live in the "Price Tiers" column of the product list. Revise applies the right one for the quantity on the invoice and adds a "Volume Pricing Savings" note.
Revise	The button in the HubSpot invoice sidebar. It expands breakouts, applies price tiers, and adds the Shipping & Handling line.
Shipping & Handling line	The freight charge on the invoice: 10% of the merchandise, never less than $10.95. Service items do not count towards it.
Free Shipping	A tick box on the invoice. The Shipping & Handling line stays visible at $0 with a note showing what was saved.
Shipping Method	A dropdown on the invoice that says how the order should travel. Blank or "Standard" means the normal charge above.
Committed	A line whose stock is set aside. It goes out the next time shipping is run.
Backordered	A line, or part of a line, that is waiting for stock. It becomes Committed when stock arrives.
Shipped	A line that has been on a packing slip. It never goes out twice.
Run Shipping	The action on the Shipping page. It ships every Committed line and produces the packing slip and the ShipStation file.
Packing slip	The PDF that goes to the warehouse. It lists what is going out now, and to whom.
ShipStation file	The CSV uploaded to ShipStation: one row per shipment with the recipient, address and shipping method.
Bill-to and Ship-to	Who pays, and who receives the box. They are often different people.

Kit, the kit, the leader's kit	A bundle.	MOM keeps what the warehouse assembles in its kit table, and APSync builds bundles from that same table. All 48 bundles are kits in MOM.
Standard Kit	A bundle.	The website's name for the basic version of a program: the video, a leader's guide, sample guides, posters.
Composite	A bundle.	The accounting word for a MOM kit.
Jump-Start, Jump-Start Package, the package	A breakout.	The website says it in one line: "Jump-Start Package includes: Standard Program Kit, 15 extra Parent's Guides, 6-month subscription to the Online Video Library." A bundle, plus guides, plus a service. All 25 Jump-Starts are breakouts.
Jump-Start PLUS, Jump-Start+, Package+	A Jump-Start (breakout) plus a Leader Training Workshop, with shipping included.	The website. "Shipping included" means ticking Free Shipping.
Program Kit	The page on the website for one program in one format. The customer picks the Standard Kit (a bundle) or the Jump-Start Package (a breakout) from it. Ask which one.	All 24 Program Kit pages on the website work this way, and each choice shows its SKU.
Combo, Guide and Workbook	A bundle of a parent's guide and a workbook.	The website: "SAVE 29% with the combo." 1965, 1995 and 2225.
Quantity pricing, bulk pricing, volume pricing, "25-99 each"	Price tiers.	The website shows the bands as choices. APSync works out the band from the quantity, so nobody has to pick one.
Flash Drive, Streaming	The format of the video program.	The website. MOM's product names say `PPV` for the flash drive version and `STREAMING PPV` for streaming.
Online Video Library, subscription, renewal	A service item. Nothing ships.	The website and MOM.
Live webinar, LTW, Leader Training Workshop, TOT	A service item, usually a breakout with books that ship.	The website and MOM.
Online Group, online class	A service item.	The website.
Digital edition, DE, download	A service item. Nothing ships.	MOM's product names.
Tag, Tote, Certificate (the sample one in a kit)	Flat items that are components of bundles.	MOM's kit table.
Virtual Classroom Package	A shelf on the website, not an item.	It is a website category with ordinary items inside it.

Why a Jump-Start order gets called "the kit"

A breakout usually has a bundle inside it, and the bundle keeps its own name. The breakout "A P/Teens 3rd Ed Jump-Start Pkg" contains the bundle "A P/Teens 3rd Edition PPV Kit". So someone talking about "the kit" on a Jump-Start order is not wrong: they mean the bundle inside the breakout. On the packing slip the breakout shows every piece, and the bundle inside it shows as one line.

If it matters which one they mean, ask: "The one product the warehouse assembles, or the whole deal with the guides listed out?" The first is a bundle. The second is a breakout.

Words from MOM's screens

Invoice A, B, C (225716A)	Separate shipments of one order. APSync has one invoice, and lines go out in whichever run finds them Committed.
Rapid Runner	The export that made the ShipStation file. APSync's ShipStation file replaces it.
Ship method N/A	"Service item, no shipping". In APSync the lines decide whether something ships, never the method.
Alliance	The warehouse. They receive the packing slip.

The few exceptions

The rules above hold almost everywhere. These are the places they do not, so nobody is surprised:

A product's name is only a name. "Kit" is in the name of 24 bundles, but also 3 breakouts and 15 flat items, most of which are the tags, tote and certificate that go inside a kit. The "Is Bundle" and "Is Breakout" columns are what count.
One Standard Kit is a breakout. Families in Action in streaming format is two bundles sold together.
A streaming program kit is still a product. The video is streamed, but the guides and posters that come with it go in a box.
One renewal (174RENEW) is set up as a product. That is a data error to fix, not a new kind of thing.
