How does sync work
An invoice moves through three places before it's fully done: HubSpot, the sync system in between, and QuickBooks. Each hop takes real time — this page is here so a wait doesn't look like something is broken.

Step by step
- You create or edit an invoice in HubSpot.
- HubSpot tells the sync system something changed.
- The sync system fills in the parts that only make sense on the HubSpot side: real prices, breakout kits split into their real components, shipping, and volume-savings notes.
- Once you open the invoice, HubSpot copies it into QuickBooks on its own — this is HubSpot's native sync, not something this app controls, and it can take anywhere from under a minute to several minutes.
- QuickBooks tells the sync system the invoice has arrived.
- The sync system finishes the rest of the work on the QuickBooks side: bundles get split into their real inventory parts, and tax gets calculated. This step also isn't instant.
- If tax changed, the real QuickBooks number gets written back to HubSpot so both sides agree.
What this means for you
- A brand-new or just-edited invoice can take a few minutes to look "finished" in QuickBooks. That's normal, not an error.
- If you check QuickBooks and it still looks like the old version, wait and check again before assuming something failed.
- The bundle-splitting and tax steps both happen automatically — nothing to click, just time to let them run.
